What is a property factor?

In Scotland, a Property Factor is appointed to manage and maintain the shared areas of residential buildings and developments. This includes everything from cleaning and grounds maintenance to repairs and health and safety.

At FirstPort Scotland, we act on behalf of residents, housing associations, councils and developers to ensure the communal areas we are responsible for are safe, well cared for and managed efficiently. Our detailed understanding of Scottish property legislation, including the Property Factors (Scotland) Act and the Tenements (Scotland) Act, underpins everything we do. All our services are delivered in full accordance with the Property Factors (Scotland) Code of Conduct, ensuring transparency, fairness and clear communication in the way we manage and maintain your property.

Supporting developers and residents

For residents

We work with residents to provide structure, clarity and reassurance, helping to navigate shared responsibilities with confidence. The use of a property factor is essential for certain homeowners, particularly if it’s outlined in their property title.

Our service includes:

  • Support for homeowners’ associations, residents’ committees and tenements with common ownership, to help these organisations fulfil their duties effectively.
  • Conducting regular site visits and inspections
  • Ensuring health and safety, fire risk assessment and asset compliance
  • Managing repairs, maintenance and major works
  • Liaising with contractors to keep homeowners up to date on maintenance
  • Issuing service charge budgets and accounts
  • Handling customer services enquiries
  • Providing out-of-hours emergency support

For clients

We work closely with developers from the earliest stages of a scheme, helping to establish practical, sustainable management solutions that support the long-term success of a development. Similarly, councils or housing associations often utilise the services of a property factor for their estates.

From service charge modelling and maintenance planning to the management of shared infrastructure, we ensure developments are set up to operate effectively from day one.

We work with you to manage:

  • Developments with a wide range of communal facilities and plants such as lifts, gardens, entry/security gates, heating systems, water pumps, and entry systems
  • All elements of a development’s health and safety
  • Service charge modelling across mechanical and electrical equipment, infrastructure, fixtures and fittings, redecoration, utilities communications, grounds maintenance, operating costs and staffing.

How we manage your development

Our factoring approach combines proactive management with responsive customer care. We oversee the day-to-day running of developments while continually identifying ways to maintain standards and improve performance over time.

We take responsibility for coordinating maintenance and repairs, appointing and managing contractors, and ensuring all communal areas are kept to a high standard. Regular site visits and inspections allow us to stay close to each development, addressing issues early and maintaining consistency.

Health and safety is central to our role. We arrange risk assessments and ensure any required actions are carried out, giving residents and developers confidence that their property is compliant and protected.

Financial management is equally important. We prepare and manage service charge budgets, provide clear and transparent accounting, and ensure costs are controlled while maintaining quality. Our approach is designed to deliver value for money without compromising on standards.

Our residential property management services include:

  • Arranging regular health and safety and fire risk assessments of the communal areas and arranging any follow-up work required.
  • Liaising with contractors to ensure residents are kept updated on the progress of maintenance and repair works.
  • Providing information to residents in a timely and transparent manner.
  • Responding promptly to resident service enquiries via phone, email, and our customer portal.
  • Providing residents with access to My Home – our online customer account that lets them manage their property anywhere, anytime.
  • Preparing specifications for works (such as cleaning, window cleaning and gardening) and arranging the tendering of maintenance contracts.
  • Conducting regular property inspections and site visits, and actioning improvements. Arranging ad-hoc repairs and managing contractor/supplier performance.
  • Working with specialist advisors such as building surveyors and engineers.
  • Providing out of hours emergency support.
  • Managing on-site staff (where applicable).
  • Ensuring regulatory compliance in line with industry guidelines and relevant legislation.
  • Liaising with third parties, such as local authorities, fire safety officers, neighbouring property owners, developers and community groups.

Our dedicated local teams are supported by in-house specialists across health and safety, surveying, finance, procurement and compliance. This collaborative approach allows us to deliver a consistent, high-quality service while drawing on expert knowledge whenever it’s needed.

At FirstPort Scotland, we are committed to delivering reliable and future-focused property factoring that supports homeowners across Scotland.
