From cleaning and grounds maintenance to major works contractors, insurance providers and health and safety specialists, property factors rely on trusted third-party partners to deliver many of the services residents depend on every day. 

Our procurement approach is designed to ensure that every supplier we work with is appropriately qualified, competitively priced and capable of delivering a consistently high standard of service across the developments we manage. 

A rigorous supplier approval process

Before joining our approved supplier network, all businesses must meet strict entry requirements. This includes holding relevant industry accreditations such as SafeContractor (Safety Schemes in Procurement), passing financial and credit checks, and providing evidence of relevant trade qualifications and experience. 

Additional checks and assessments are carried out for specialist or higher-risk services to ensure suppliers are suitable for the work required within residential developments. 

Competitive and transparent tendering 

Where work is required, we typically invite multiple approved suppliers to tender, including both national contractors and locally based businesses where appropriate. Homeowner-nominated suppliers may also be considered. 

All pricing is reviewed through a competitive tender process, with a focus on securing fair and sustainable costs for residents. We benchmark quotations against existing rates and wider UK market data for the relevant trade or service. 

Where pricing is above market expectations, we engage directly with suppliers to negotiate improved rates. Agreed pricing is then fixed for the duration of the contract or framework wherever possible, helping provide consistency over time. 

We also carry out regular benchmarking to ensure ongoing competitiveness, including reviewing whether alternative approved suppliers can deliver the same service at better rates, and where appropriate, requesting price matching. 

Ongoing performance management 

Supplier performance is monitored on an ongoing basis by our operational teams. This includes regular reviews of service quality, responsiveness and compliance with agreed standards.
